**Job Description \& Job Details**
**Position:** Admin Executive/Assistant (Healthcare industry)
**Salary:** RM2,000 \- RM2,500
**Working Days:** Monday to Saturday
**Working Hours:** 8\.00AM \- 5\.00PM , 9\.00AM \- 6\.00PM
**Location:** KLINIK PERGIGIAN DENTA LEVANT, S01\-08, EMPORIS, 3 , PERSIARAN SURIAN, SEKSYEN, TAMAN SAINS SELANGOR 1 , KOTA DAMANSARA 47810 PETALING JAYA
1\. Director Support \& Meeting Coordination
* Schedule, coordinate, and organize meetings for the Director, including preparing agendas, printing relevant documents, and ensuring all necessary arrangements are made.
* Follow up on meeting action items to ensure timely execution.
2\. Daily Operational Reporting
* Coordinate and verify submission of daily Morning Review reports from respective personnel.
* Prepare a daily summary of staff attendance, indicating who was on time, late, or absent (annual leave, medical leave, emergency leave, or unpaid leave).
3\. Sales/Leads Monitoring Support
* Assist the Tongue\-Tie Closing team in updating the Closing Monitoring Spreadsheet.
* Record lead generation numbers and closing performance per team member.
4\. Inventory and Procurement
* Conduct and assist in regular stock counts and inventory reconciliation.
* Receive incoming inventory, verify against Purchase Orders, and update inventory records in the Inventory Management System.
* Prepare Purchase Orders (POs) for approval and ensure accurate submission to suppliers.
* Coordinate with suppliers for delivery schedules and discrepancies.
5\. Invoice \& Payment Processing
* Collate incoming supplier invoices and route them for management approval.
* Log invoices into a control spreadsheet and liaise with the Accountant for timely processing and payment.
6\. General Administrative \& Clerical Support
* Perform routine clerical duties such as document preparation, data entry, filing,and scanning.
* Manage incoming and outgoing mail, emails, and courier arrangements.
* Maintain well\-organized filing systems (physical and digital).
7\. Office Management
* Monitor and replenish office supplies and pantry stock.
* Ensure office premises are tidy, organized, and functional.
* Coordinate with vendors or maintenance providers when required.
Requirements / Preferred Qualifications
1\. Minimum in Diploma
2\. Strong communication and negotiation skills
3\. Experience as Admin Executive or Admin Assistant
4\. Self\-motivated, proactive, and results\-oriented
5\. Able to work independently and in a team environment
